Setting Up the Sales Module

Sales Opportunities

Use the following steps to add sales opportunities:

  1. On the group items bar, select the Opportunities group item.
  2. On the Opportunities group item, select Add Opportunity group item link.
  1. The Add—Sales Opportunity page will display.
  2. Select a sales rep (required).
  3. Select an account/contact. This can be an individual or an organization.
  4. Select an opportunity type and source. See Setting Up the Sales Module for more information.
  5. Select the opportunity amount and sales quantity
  6. Select a product type associated with the sales opportunity. This is for reporting purposes.
  7. Once you select a product type in the drop-down menu, you may choose the appropriate product that matches it in the product drop down as seen in the image below.
  8. When you are satisfied with the details of your sales opportunity, click the Save button to add it.

Sales Opportunity Profile

The Sales Opportunity Profile displays the details about a specific sales opportunity.

Navigate to the Sales Opportunity Profile

To navigate to the Sales Opportunity profile page, complete the following steps:

  1. Expand the Module Menu.
  2. Click the Sales option to launch the Sales module.
  3. Mouse over the Opportunities tab to display the options available to you.
    • Find - enter search criteria to search for a specific sales opportunity.
    • Query - build a query to search for specific sales opportunity.
    • List - lists all of the sales opportunity currently in netFORUM.
    • Add - allows you to enter new sales opportunities into netFORUM.
  4. Once you get the list of results from your Find, Query, or List, click on the Goto go to icon next to the sales opportunity profile that you want to view. This will open the profile page for that sales opportunity.

Closing an Opportunity

As a standard operating procedure, associate opportunity stages with opportunities that are lost, abandoned or won. For example, you might create stages for:

  • Closed-Lost
  • Closed-Abandoned
  • Closed-Won

When you close an opportunity, choose the appropriate Stage and enter a close date.

When users are working open opportunities on a daily basis, they can filter out closed opportunities by considering only opportunities with an empty (or future-dated) close date.

If the opportunity results in a sale, then you can add the product sale from the Opportunity Profile page by clicking the order entry button. This will launch the COE page and offer the option to close the opportunity if the close opportunity checkbox is selected. This will enter the current date into the closed date field, but will not update the Current Stage. Upon saving the Order, the resulting invoice will appear on the opportunity invoice child form.

Opportunities Associated to Orders

Opportunities can be associated to transactions (such as donations, purchases, and so-forth.)

To associate an opportunity to a transaction, complete the following steps:

  1. Navigate to the opportunity profile page.
  2. Click the Order Entry icon.

    This will open the Centralized Order Entry | Order page.

    In addition, the order form for the specific type of product specified for this opportunity will also open.

    Note: Notice the product type in the image above. This will dictate what type or order entry form is displayed after you click the order entry icon.

  3. Enter the details for the transaction.
  4. Click the Save and Finish button.

    The Centralized Order Entry | Order page will update with the order information you just entered.

  5. Complete the Batch and Payment Information sections of the order.
  6. Click the Save button.

    The order has been processed and is tied to the opportunity.

Adding a Contact from the Opportunity Profile

Contacts can be added from the Opportunity Profile>Contacts child form.

To add a contact, use the following steps:

  1. Navigate to the Opportunity Profile where you want to add a contact.
  2. Open the Contacts child form.
  3. Click the Add button to open the Add Contact form.
  4. Complete the information in the form, as follows:
    Field Name Required? Description
    sort nameYesEnter the name of the contact to be added to this opportunity. The name you enter should be the sort name associated with the Individual record.
    opportunity nameread onlyThe opportunity name is displayed.
    relationship codeYesSelect an appropriate relationship code for the opportunity.
    start dateNoThe start date of the relationship between the contact and the opportunity.
    end dateNoThe end date of the relationship between the contact and the opportunity.
    notesNoAdd any notes pertaining to the relationship between this contact and the opportunity.
  5. Click Save to save the contact information.

Adding an Assignment from the Opportunity Profile

Assignments can be added from the Opportunity Profile.

To add an assignment from the Opportunity Profile, complete the following steps:

  1. Navigate to the Opportunity Profile where you would like to add the assignment.
  2. Click the Add Assignment icon.

    The Add - Assignment pop-up window will display. You can also open the Add - Assignment pop-up window by expanding the assignments child form (located under the Primary tab of the Opportunity Profile) and clicking the add icon.

  3. Complete the following fields as needed:
    Field Name Required? Description
    userDisplay onlyThis field displays the assignee selected when the assignment was added.
    opportunity Optional This field will be pre-populated with the name of the opportunity listed on the Opportunity Profile. This field cannot be changed.
    customer Optional This field will be pre-populated with the account/contact name listed on the Opportunity Profile. This field works with both individuals and organizations set as the customer and can be modified if needed.
    assignee Required This field is populated with the named listed as the sales rep on the Opportunity Profile. This field can be modified if needed.
    status Required Expand the drop-down menu and select the current status of this assignment.
    role Required Expand the drop-down menu and select the role of the assignee.
    priority Required Expand the drop-down menu and select the priority of the new assignment.
    activity Required Expand the drop-down menu and select the activity that will occur for this assignment.
    assignment source Optional Expand the drop-down menu and select the source (or method of origin) for this assignment.
    due date Optional Click the calendar icon and select the date the new assignment should be completed.
    remind dateOptional Click the calendar icon and select the date on which the assignee should be reminded of this assignment.
    assignment summary Required Enter a short synopsis of what the new assignment involves.
    assignment details Optional Enter a more detailed description of the requirements, purpose, etc. of the new assignment.
  4. Click the Save button.
