Time - Submitting Time and Expenses

The Submit Time functionality allows you to quickly and easily review, edit and submit your time for multiple projects and/or specific tasks.

This functionality is directly related to the Billing Periods requirement. Time can only be submitted from the My Time Entry Profile page and can only be submitted against the Billing Period in which the Work Type was performed. Once submitted, the Submitted field will be automatically checked and the record will NOT be editable by the user.

Submitting Time

To submit time, complete the following steps:

  1. Expand the Module Menu in netFORUM.
  2. Click the Time hyperlink to launch the Time module.
  3. Hover over the Time Entry group item to expand the Time Entry fly-out menu.
  4. Click the Time Entry Profile link to open your Time Entry Profile.
  5. Click the Submit Time icon located in the Action Bar of the Time Entry Profile.

    This will open the Submit Time pop-up window.

  6. Expand the Billing Periods drop-down menu to select the desired Billing Period. Once a Billing Period is selected, the Submit Time Grid will update with all of the Time Entries for that period.

    Each Time Entry is displayed on its own line.

  7. You can choose to modify the time before it submitted by expanding the various drop-down menus and making new selections, entering new values in the available fields, or by clicking the Edit icon next to a line item. Clicking the Edit icon allows you edit more details about the specific Time Entry than are available on the Submit Time form.

    Note: Time can also be edited from the time child form on the My Time Entry Profile page by clicking on the Edit icon next to the appropriate time entry. However, all editing must be done prior to submission. Once Time Entries have been submitted they can no longer be edited.

  8. Click the submit time button once all of the Time Entries have been finalized.
  9. After clicking the submit time button you will be presented with a pop-up window asking you to confirm that you actually do wish to submit this time. Click the OK button to submit the Time Entries.

    Once the Time Entries have been submitted, they will be visible on the time billing this period child form.

Submitting Expenses

The Submit Time functionality allows you to quickly and easily review, edit and submit your expenses for multiple projects against specific tasks.

This functionality is NOT directly related to a billing period requirement. Expenses can only be submitted from the My Time Entry Profile page and must be submitted against a specific Project Task. Once expenses are submitted, the record will NOT be editable by the user.

To submit Expenses, complete the following steps:

  1. Expand the Module Menu in netFORUM.
  2. Click the Time hyperlink to launch the Time module.
  3. Hover over the Time Entry group item to expand the Time Entry fly-out menu.
  4. Click the Time Entry Profile link to open your Time Entry Profile.
  5. Click the Submit Expense icon located in the Action Bar of the Time Entry Profile.

    This will open the Submit Expenses pop-up window.

    The Submit Expenses pop-up window lists all of the unsubmitted expenses for a specific user (the user whose Time Entry Profile is currently being accessed.)

  6. Before submitting the Expenses, check to make sure all the information for each line item is correct.

    To make changes expand the appropriate drop-down menu and make the desired change or enter different data in the text fields (paid date and amount fields.)

    You may also click the Edit icon next to the line item you wish to edit. Clicking the Edit icon opens the Edit - Expense pop-up window. The Edit - Expense pop-up window contains all of the fields that may be edited for an Expense, while the Submit Expenses pop-up window only contains a select few.

    Note: Expenses can also be edited from the Expense child form on the My Time Entry Profile page by clicking on the Edit icon next to the appropriate expense entry. However, all editing must be done prior to submission. Once Expenses have been submitted, they can no longer be edited.

  7. Click the submit button once all of the modifications (if any) have been completed.

    You will receive a pop-up window asking you to confirm that you wish to submit these Expenses.

  8. Click the OK button to complete the submission of your Expenses.
