How Do I Create an Alert?
Click an event topic to display the steps to create that type of alert.
In this example, we will create an alert to notify the CFO when your primary budget goes over 90 percentage of the budgeted amount spent. However, this event is not limited to just Budget, it's also available in <All Events> and General Ledger.
This alert notifies when any of the following criteria is met:
- Monitors the budgeted amounts compared to actual amounts and encumbrance amounts using the criteria created in Organization>Set Up Modules>Budget>Budget Versions and Primary Budget Controls.
- The alert will be evaluated during the Post Transactions process or when posting a session with the batch status On-line Posting selected and must be processed for all transaction sources except Budget (BD).
- The alert requires the Organization>Set Up Modules>Budget>Primary Budget Controls – Check Available Budget During Posting check box to be selected.
- The alert will not occur if the document is moved to another unposted session when the customer receives the Over Budget validation during posting.
- The alert will be evaluated for each transaction line using the budget set up parameters where:
- The budget period begins date will be based on the Primary Budget Controls – Critical Segment account code’s Beginning Date.
- The budget period ends date will be based on the Primary Budget Controls – Method; Period to Date will use the Effective Date in the transaction line and Total Budget will use the Critical Segment account code’s Ending Date.
- The accounts codes to evaluate will be based on the Primary Budget Controls Segments select (GL segment is always included).
- The primary budget will be designated on the Budget Versions selection.
- The GL account types to evaluate will be based on the Primary Budget Controls Account Types selected; Expenses Only (EXP), Revenues Only (REV), Revenues & Expenses (REV,EXP), or All Available Accounts (all account types except CSH, AR, AP).
- The PTD Amount (Period to Date or Total) will be the actual amounts in the ledgers when the document is posted.
- The Encumbered Amount (Period to Date or Total) will be the encumbered amounts in the ledgers when the document is posted.
- The Budget Amount (Period to Date or Total) will be the budgeted amounts in the ledgers when the document is posted.
- The Difference (Period to Date or Total) will be the actual amounts plus the encumbered amounts minus the budgeted amounts in the ledgers when the document is posted.
- The alert will occur if the actual amounts plus the encumbered amounts divided by the budgeted amounts is greater or less than the Percentage of Budget Spent.
- The Primary Budget Controls – Posting Options selection will not be applicable.
- Enter a name, such as BD - Budget Tolerance.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive will turn off the alert.
- If an IIS Server is set up, select an option for notify your CFO using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the CFO can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:
- Select the Budget, General Ledger, or <All Events>.
- Select the Budget Tolerance event.
- This specific alert type contains filters that are required:
- For the Percent of Budget Spent Filter column, select > in the Compares To column, and enter 90.00 in the Criteria 1 column. Additional Operator option is <.
- For the Alert Limit Filter column, select = in the Compares To column, and select 01 Hour in the Criteria 1 column. This will alert you immediately and then every hour.
- Continue to the next tab to Preview your alert message.
- To send Real-time notices using Email, complete the following; otherwise, continue to Step 9.
- Accept the default From Email Address or enter a different one.
- Accept the default Subject line which references the organization generating the alert or enter a meaningful Subject line. For example, NOTICE - Budget Tolerance over 15% spent.
- Edit and Preview the Message,
- Use the Message Edit section to customize the notification or accept the default message. Note that the information in the variable < > contains coded information, sometimes it can be edited but most of the time it is meaningful in the final message. For example, <Message> <Percentage Spent> for <Accounts Budget>, in document <Document Number>, <Session ID>, <Transaction Source> for <Transaction Amount> posted by <User ID>, <User Name> can be translated into this: <Message> is a general information statement that can be edited, be sure to remove the < > when editing it. The <Percentage Spent> displays the actual balance amount to which you are being alerted. If you want a meaningful message, it might be a good idea to leave it as is. The <Accounts Budget> is the accounts budgeted on Primary Budget Controls including GL. The <Document Number> displays the check number. The <Session ID> displays the session ID being Posted. The <Transaction Source> displays the transaction source codes being Posted. The <Transaction Amount> displays the transaction amount being Posted. The <User ID> and <User Name> displays the selected User ID and User ID's Name that you selected on the Setup Tab, if selected or the User ID and Name who issued the check. Again, if you want a meaningful message, it might be a good idea to leave it as is. Or if your alert is specific, you can remove the variables and enter your own information. NOTE that when a message variable is removed, that information will be excluded from the message of the issued alert.
- Use the Preview section to view the editable message above. (Click the Reset button to remove all previous edits to the message and to recover any message variables that may have been deleted.)
- Continue to the next tab to Assign the users who will receive the notification.
- Then select your CFO from the Available Items column move them to the Selected Items column.
- After you have selected all the users who will receive the notification, click the Save button and close the form.
Once the primary budget is above or below the balance indicated in the percentage, the system will notify the user the first time the GL Code is used in a transaction and every hour until all of the balance transactions is complete or when the balance increases to above the notice amount.
In this example, we will create an alert to notify the AP Clerk any time the GL account - Cash in Checking gets to or below $10,000. However, this event is not limited to just Accounts Payable, its also available in <All Events>, General Ledger, and Payroll.
- Enter a name, such as AP - Low Cash Balance.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for notify your AP Clerk using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the AP Clerk can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:
- Select the Accounts Payable, General Ledger, or Payroll module or <All Events>.
- Select the Cash Balance Threshold event.
- This specific alert type contains filters that are required:
- For the Cash Account Filter column, select = in the Compares To column, and select 11001 - Cash In Checking in the Criteria 1 column.
- For the Balance Filter column, select < in the Compares To column, and enter 10,000 in the Criteria 1 column. Additional Operator option is >.
- For the Alert Limit Filter column, select = in the Compares To column, and select 01 Hour in the Criteria 1 column. This will alert you immediately and than every hour.
- Continue to the next tab to Preview your alert message.
- To send Real-time notices using Email, complete the following; otherwise, continue to Step 9.
- Accept the default From Email Address or enter a different one.
- Accept the default Subject line which references the organization generating the alert or enter a meaningful Subject line. For example, NOTICE - GL Account 11001 balance is $10,000 or less.
- Edit and Preview the Message,

Again, if you want a meaningful message, it might be a good idea to leave it as is. Or if your alert is specific, you can remove the variables and enter your own information. NOTE that when a message variable is removed, that information will be excluded from the message of the issued alert.
- Use the Preview section to view the editable message above. (Click the Reset button to remove all previous edits to the message and to recover any message variables that may have been deleted.)
- Continue to the next tab to Assign the users who will receive the notification.
- Then select your AP Clerk from the Available Items column move them to the Selected Items column.
- After you have selected all the users who will receive the notification, click the Save button and close the form.
Once the cash balance for the GL Code is at or below the balance indicated, the system will notify the user the first time the GL Code is used in a transaction and every hour until the all balance transactions complete or when the balance increases to above the notice amount.
To create an alert to notify your AP Supervisor when someone in your organization cuts a check to a linked system user.
This alert notifies when a check or voucher is sent to be printed to a System User who is linked to an Employee or Vendor in each of the following areas:
- In Activities>Check Writing>Write Checks: a user clicks OK on the Print: Load Checks form.
- In Activities>Accounts Payable>Pay Selected AP Invoices: a user clicks OK on the Print: Load Checks form.
- In Payroll>Activities>Print/Email Check and Vouchers, a user clicks OK on the Print: Load Checks form.
- Enter a name, such as AP - Check issued to Sys User.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for how to notify your AP Supervisor using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the AP Supervisor can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:
- Select the Accounts Payable module or <All Events>.
- Select the Check Issued to Linked User event.
- This specific alert type does not contain filters that are required but offers optional filters:

- Optional, to place a watch on a specific Transaction Source, move Transaction Source to the Selected Filter column, select = in the Compares To column, and select APS (A/P System Generated Checks/Vouchers), CDS (Write Checks), or PRS (Payroll System Generated Checks/Vouchers) in the Criteria 1 column. You can also watch several transaction source codes by using the Operator option IN and entering the Code of the Transaction Sources that you want to watch separated by a comma.
- Optional, to place a watch on a specific system user, move User ID to the Selected Filter column, select move = in the Compares To column, and select NPS in the Criteria 1 column. You can also watch several system users by using the Operator option IN and entering the User IDs of the User that you want to watch separated by a comma. Note that User IDs that contain commas, cannot be included with the IN operator range; each User ID filtered will need to be in a separate Alert.

- And create a meaningful Subject line. For example, NOTICE - AP Check issued to System User.

The <Document Number> displays the check number. The <To Name> is the name entered for whom a check was sent to the printer, such as Vendor ID. The <Amount> is the amount of the check that was printed. The <Linked User ID> and <Linked User Name> displays the system user ID and name associated with the Vendor. The <User ID> and <User Name> displays the selected User ID and User ID's Name that you selected on the Setup Tab, if selected or the User ID and Name who issued the check. Again, if you want a meaningful message, it might be a good idea to leave it as is. Or if your alert is specific, you can remove the variables and enter your own information. NOTE that when a message variable is removed, that information will be excluded from the message of the issued alert.
- Use the Preview section to view the editable message above.
- Continue to the next tab to Assign the users who will receive the notification.
- Then select your AP Supervisor from the Available Items column move them to the Selected Items column.
- After you have selected all the users who will receive the notification, click the Save button and close the form.
In this example, we will create an alert to notify your AP Supervisor when a check is printed without a Vendor ID using the Write Checks form.
This alert notifies when any of the following criteria is met:
- Monitors only for checks being printed without a valid Vendor ID, for the Payee ID, using the Activities>Check Writing>Write Checks form.
- The alert will not occur if a Customer ID or Employee ID (from Find Payee ID form) is selected for the Payee ID.
- Enter a name, such as AP - Check Issued without Vendor ID.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for how to notify your AP Supervisor using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the AP Supervisor can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:
- Select the General Ledger or Accounts Payable module or <All Events>.
- Select the Checks Issued without Vendor ID.
- This specific alert type does not contain filters that are required but offers optional filters:
- Do not use a filter to have the system watch for all checks issued without a valid Vendor ID.
- Optional, to place a watch on a specific system user, move User ID to the Selected Filter column, select move = in the Compares To column, and select NPS in the Criteria 1 column. You can also watch several system users by using the Operator option IN. Note that User IDs that contain symbols or special characters, such as commas, cannot be included with the IN operator range; each User ID filtered will need to be in a separate Alert.

In this example, we will create an alert to notify your Payroll Supervisor when someone in your organization initiates an employee pay rate change.
- Enter a name, such as PR - Employee Pay Rate Changed.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for how to notify your Payroll Supervisor using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the Payroll Supervisor can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:
- Select the Payroll module or <All Events>.
- Select the Employee Pay Rate Change event.
- This specific alert type does not contain filters that are required but offers optional filters:
- Do not use a filter to have the system watch for all employee pay rate changes made by any user.
- Optional, to place a watch on every employee except the one who is authorized to make pay rate changes, move Employee ID to the Selected Filter column, select IN in the Compares To column, and select the first employee in the Criteria 1 column. Note that Employee IDs that contain special characters cannot be included with the IN operator range; each Employee ID filtered will need to be in a separate Alert.
- Optional, to place a watch on a specific employee, move Employee ID to the Selected Filter column, select = in the Compares To column, and select Adams in the Criteria 1 column. Each time an Employee's pay rate is changed using the Maintain>Payroll>Employee Information form, the system will notify the user upon Save.
In this example, we will create an alert to notify the CFO when someone in your organization prints a system check or vouchers but chooses not to record it.
This alert notifies when a check or voucher is printed but not recorded in each of the following areas:
- In Activities>Check Writing>Write Checks a user answers No, to the "Did all checks print correctly" question.
- In Activities>Accounts Payable>Pay Selected AP Invoices, a user reprints a check or voucher.
- In Payroll>Activities>Print/Email Check and Vouchers, a user reprints a check or voucher.
- Enter a name, such as System Check Not Recorded.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for how to notify your CFO using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the CFO can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:

- In Transactions>Accounts Payable>Edit Pay Selected A/P Invoices - Session Level and/or Document Level.
- In Transactions>Edit Write Checks - Session Level and/or Document Level.
- In Activities>Payroll>Print/Email Check and Vouchers - Session Level and/or Document Level.
- Enter a name, such as System Check Deleted.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for how to notify your CFO using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the CFO can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.

In this example, we will create an alert to notify the System Administrator after three failed log on attempts to your organization.
- Enter a name, such as SYS - Failed Log On.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for notify your System Administrator using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the System Administrator can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:
- Select the System module or <All Events>.
- Select the Three Failed Log On Attempts event.
- This specific alert type does not contain filters.

- To send Real-time notices using Email, complete the following; otherwise, continue to Step 9.
- Accept the default From Email Address or enter a different one.
- Accept the default Subject line which references the organization generating the alert or enter a meaningful Subject line. For example, NOTICE - Three Failed Log on Attempts.
- Edit and Preview the Message,
- Use the Message Edit section to customize the notification or accept the default message. Note that the information in the variable < > contains coded information, sometimes it can be edited but most of the time it is meaningful in the final message. For example, <Message> on workstation <Workstation Name> can be translated into this: <Message> is a general information statement that can be edited, be sure to remove the < > when editing it. The <Workstation Name> displays the name of the workstation where the failed log on attempts occurred to which you are being alerted. If you want a meaningful message, it might be a good idea to leave it as is. NOTE that when a message variable is removed, that information will be excluded from the message of the issued alert.
- Use the Preview section to view the editable message above. (Click the Reset button to remove all previous edits to the message and to recover any message variables that may have been deleted.)
- Continue to the next tab to Assign the users who will receive the notification.
- Then select your System Administrator from the Available Items column move them to the Selected Items column.
- After you have selected all the users who will receive the notification, click the Save button and close the form.
After the third failed log on attempt to your organization, the system will notify the assigned user.
To create an alert to notify your AP Supervisor when someone in your organization initiates or changes a Hold Payment on a vendor.
- Enter a name, such as AP - Vendor Hold Payment Changed.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.
- If an IIS Server is set up, select an option for how to notify your AP Supervisor using Real-time notices, using email or an in-product notice. If a real-time notice option is NOT selected, the AP Supervisor can still view alerts that are assigned to them on-demand using the Alerts >Message Center form.
- To configure this specific alert:
- Select the Accounts Payable module or <All Events>.
- Select the Vendor Hold Payment Changed event.
- This specific alert type does not contain filters that are required but offers optional filters:
- Optional, to place a watch on a specific vendor, move Vendor ID to the Selected Filter column, select = in the Compares To column, and select ABC in the Criteria 1 column. You can also watch several vendors by using the Operator option IN. Note that Vendor IDs that contain special characters cannot be included with the IN operator range; each Vendor ID filtered will need to be in a separate Alert.
- Optional, to place a watch on a specific system user, move User ID to the Selected Filter column, select move = in the Compares To column, and select NPS in the Criteria 1 column. You can also watch several system users by using the Operator option IN. Note that User IDs that contain symbols or special characters, such as commas, cannot be included with the IN operator range; each User ID filtered will need to be in a separate Alert.
- Continue to the next tab to Preview your alert message.
- To send Real-time notices using Email, complete the following; otherwise, continue to Step 9.

- And create a meaningful Subject line. For example, NOTICE - AP Vendor Hold Payment Changed.

- Continue to the next tab to Assign the users who will receive the notification.
- Then select your AP Supervisor from the Available Items column move them to the Selected Items column.

Each time an A/P Vendor's Hold Payment check box is changed using the Maintain>Accounts Payable>Vendors form, the system will notify the user upon Save.

In this example, we will create an alert to notify your AP Supervisor when someone in your organization initiates a payment to a vendor with an amount over $500.
This alert notifies when a check or voucher is sent to be printed to a System User who is linked to an Employee or Vendor in each of the following areas:
- In Activities>Check Writing>Write Checks: a user clicks OK on the Print: Load Checks form.
- Enter a name, such as AP - $500 Vendor Payment.
- Select an importance status of High, Low, or accept the default of Medium importance status. This status is reflected when the User is alerted.
- Accept the default status of Active. The status Inactive, will turn off the alert.

You can also watch several vendors by using the Operator option IN and entering the Vendor IDs of the Vendors that you want to watch separated by a comma. Note that Vendor IDs that contain commas, cannot be included with the IN operator range; each Vendor ID filtered will need to be in a separate Alert.

The <Vendor ID> and <Vendor Name> displays the selected Vendor ID and Vendor ID's Title that you selected on the Setup Tab, if selected or the Vendor ID and Name to whom the payment was made. The <User ID> and <User Name> displays the selected User ID and User ID's Title that you selected on the Setup Tab, if selected or the User ID and Name who made the payment. Again, if you want a meaningful message, it might be a good idea to leave it as is. Or if your alert is specific, you can remove the variables and enter your own information. NOTE that when a message variable is removed, that information will be excluded from the message of the issued alert.
