How Do I Process Accounts Receivable Transactions?

The following is a checklist for entering accounts receivable invoices, receipts, and credits:

  1. Enter the session of invoices, receipts, or credits (Transactions>Accounts Receivable>Enter A/R Invoices, Enter A/R Receipts, or Enter A/R Credits). If a status of Online is selected, the system posts each document as it is completed and saved. Consequently, you would skip to Step 5.
  2. If unposted, print a list of the documents for review (Reports>Transaction Reports>Unposted General Ledger Transactions). Filter by Session ID to print the session only.
  3. Verify the documents against this report and make any necessary additions or corrections to the session (Transactions>Accounts Receivable>Enter A/R Invoices, Enter A/R Receipts, or Enter A/R Credits).
  4. Post this session of A/R documents (Activities>Manage Sessions>Post Transactions).
  5. If necessary, void invoices (Activities>Accounts Receivable>Void Invoices).
  6. Print a posting report for verification (Reports>Transaction Reports>Posted General Ledger Transactions). Filter by Session ID to print the posted session only.
  7. Run Accounts Receivable reports (Reports>Accounts Receivable>Summary A/R Ledger, Detail A/R Ledger, and/or Aged Receivables) to review updated customer balances.
