Why should I Consolidate Transaction History?

All of the data entered into your organization database, with the exception of security information, is stored in a single file database file with an MDF extension. Over time your database file will increase in size. As the database grows in size, the speed and performance of the system may slow down or you may find that the older information detail is no longer used. The Consolidate Transaction History feature provides you with a way to keep your database manageable by creating summary records from the detail records and then deleting the detail records from your database. These summary records allow you to continue to report on prior periods.

When should I Consolidate Transaction History?

Consolidation of history can only be performed after a fiscal year has been closed and begins with the oldest year that contains information. It is ideal to perform the process when you are comfortable that you will not need to access detail for the fiscal year you are going to consolidate. You should perform the consolidation only after making sure you have made a backup of your data. This way you will always have the detail on a backup should you need to refer to it later and as a protection in case you run into problems during the consolidation process.
