Why has leave calculated despite the maximum set on the Leave Code?

Leave codes allow you to set a maximum annual accrual amount. This means that based on effective date of the leave transaction, an employee will continue to accrue leave up to the maximum annual balance. For example, if a vacation code has a maximum annual accrual amount of 120 hours, then an employee can earn up to 120 hours this year (regardless of balance carried forward from last year). Additionally, if the employee has earned 120 hours this year and then uses 8 hours of leave, they may accrue back up to the maximum of 120 hours.

How do I correct an employee's leave balances?

Use the Activities>Setup/Adjust Employee Balances form to make cumulative leave adjustments. Be sure to use the proper effective date.

How do I set up the leave information if I have a true maximum leave amount (not maximum annual balance)?

Leave codes allow you to set a maximum annual accrual amount. This means that based on effective date of the leave transaction, an employee will continue to accrue leave up to the maximum annual balance. If your organization has a true maximum leave amount rather than a maximum annual leave balance, then you will need to add the following steps to your year-end procedures;

  1. Use the Activities>Setup/Adjust Employee Balances form to reduce the leave on the last day of the payroll year to zero.
  2. Use the Activities>Setup/Adjust Employee Balances form to record the full leave balance on the first day of the new payroll year.
I paid an employee for leave, but there were no accounting entries to reflect the payment. Why?

Leave codes are designed to track leave balances and do not generate any accounting entries. If your organization needs to track leave pay, you will need to set up separate earning codes for the leave pay. If the employee taking leave is salaried, you will need to pay them using a wage code and leave earning code that calculate using the rate multiplier with a rate of one, rather than the employee pay rate so that they are paid the correct number of hours under each designation (regular wages and leave wages).
