How Do I Produce W-2/W-3 Information?

Make sure all payroll periods for the year you are producing W-2s have been processed, calculated, and printed. Then, perform the following steps in the Payroll module to produce W-2 information:

  1. Select Activities>Payroll>Tax Reporting>Tax Forms and eFiling by Aatrix®. Advance through the steps to review W-2 information about each individual employee and print W-2 forms.
  2. Once you have printed the W-2 forms, the W-3 Form prints. The W-3 form is the summation of the previously printed W-2 forms. You can print a W-3 form for each group of W-2s printed.
  3. Note: A Form W-2 must be filed for each employee from whom income, social security, or Medicare taxes have been withheld. Also, if 250 or more W-2 forms are being filed, they must be filed by eFiling.

  4. To review W-2 Information, you must first calculate W-2s (Reports>Payroll>Payroll Tax Worksheets>Calculate W-2 Information). The Calculate W-2 Information is used to associate the amount of wages paid and taxes withheld for each employee for the selected tax year. (Click the column heading to sort by that group. This allows employee records to be calculated in smaller groups.)
  5. Then print the W-2 data in a report (Reports>Payroll>Payroll Tax Worksheet>W-2 Information).
