Voiding Payroll Checks/Vouchers

How do I void a payroll check or voucher?

Complete the following steps.

We recommend that you make a backup of your data prior to voiding checks in the Payroll module because there is no "undo" void feature in payroll.

  1. Select the Activities>Void Checks form.
  2. The Void Checks form will appear.
    • Filters (Optional) - Filter for the criteria defining the checks you want to void. By default the filter option is shown in the top portion of the window. If you do not want to see the filter option you can click on Display/Hide Filter to remove the filter section from the form. If you need to change filter criteria, use Clear Filter to remove the exiting criteria quickly.
    • Display Records - Click Display Records to view all payroll checks/vouchers available for voiding that meet the filter criteria. If no filter was specified, all outstanding payroll checks will be displayed for selection (checks marked as cleared through the Bank Reconciliation module will not be available to void). Change the Records per Page to display more checks per page and the buttons at the top of the form allow you to move from page to page. We strongly urge clients to clear all checks when beginning this phase of the session to ensure that no other checks have been inadvertently selected to void.
    • Record Selection - Select the checks you want to post by checking the box for that check's row. The Select All button is available to select all displayed sessions quickly as well as the Deselect All button to remove the current selections. We recommend that you only void one check per session for maximum flexibility.
  3. Click OK. The Check Date form will appear.
    • Use Original Effective - Select "Use Original Effective Date" check box to use the original document's effective date for the void entries. Enter a new effective date, if you do not want to use the original effective date.
  4. Note: The system prohibits and/or warns you with a message when a new effective date is posting into a closed year.

  5. Once you click the final OK on the Check Date form, the employee records will be updated automatically to reflect the void. The void check session will now be available to transfer to accounting to update the accounting records.
