Add Session Quick Form

Add a session to an event using the Add Session Quick Form when you have the general ledger information to track the session fee.

To add a Session using the Add Session Quick Form, use the following steps:

  1. Go to Modules>Events>Sessions>Add Session Quick Form. The Add - Events Session page opens.
  2. Use the descriptions in the tables below to enter information. Each table covers a section of the Add Session Quick Form.

    Session Information

    session nameRequiredEnter the full name of the session.

    end dateOptionalClick on the calendar icon and select the session start date OR enter the session start date in DD/MM/YY format.
    session start timeOptionalEnter the time the session is scheduled to start.
    end timeOptionalEnter the time the session is scheduled to end.
    capacityOptionalEnter the registrant capacity of the session.
    maximum sponsorsOptionalEnter the maximum number of sponsors allowed for the session.
    est attendanceOptionalEnter the estimated attendance for the event.
    guaranteed attendanceOptionalEnter the guaranteed attendance for the event.
    registrant goalOptionalEnter the goal for number of registrants for the session.
    revenue goalOptionalEnter the revenue goal for the session.
    ceu typeOptionalSelect the CEU type from the drop-down list.
    ceu#OptionalIf the session is part of a course, enter the number of CEU credits available to course participants.
    Cut Off Dates & Web InformationOptionalFor each item in this section, either click on the calendar icon and select the session start date OR enter the session start date in DD/MM/YY format.

    fundraising product OptionalUse the drop-down list to select the Fundassociated with the session.

    Session Registration Options

    Field NameRequired?Description
    wait listOptionalCheck this box if the session will have a wait list once registrant capacity is reached. When this box is checked, the auto register wait list checkbox is displayed.
    auto register wait listOptionalCheck this box if registrants on the wait list will be automatically added in the event of a cancellation. This checkbox is only displayed when the wait list checkbox is selected.
    ticketedOptionalCheck this box if the session will be ticketed.
    main event registration requiredOptionalCheck this box if registration for the Event associated with the session is required in order to attend the session.
    free session?OptionalCheck this box if the session is free.
    free guest?OptionalCheck this box if each session registrant may bring a guest for free.

    G/L Information

    deferredOptionalCheck the box if there will be deferred revenue associated with the session. When this box is checked, the recognize after field is displayed.
    recognize after Click on the calendar icon and select the OR enter in DD/MM/YY format the date after which the deferred revenue will be recognized. This checkbox is only displayed when the deferred checkbox is selected.

  3. Click Save to add the Session to the Event and go to the Session Profile page. Click Cancel to return to the previous page without saving your changes.
