Time - Project Task

A Project Task is the work or job to be done within each project e.g. data conversion, system requirements, custom dues calculation, product implementation, custom reports, etc. These are determined specifically for each project.

Adding a Project Task

Project Tasks are added from the Project Profile page.

To add a Project Task, complete the following steps,

  1. Expand the Module Menu.
  2. Click the Time link to launch the Time module.
  3. Hover over the Project group item to expand the Project fly-out menu.
  4. Use the Find or List options to locate the Project to which you wish to add the Project Task.
  5. From the list of results, click the Goto icon next to the name of the Project whose profile you wish to open.

    Expand the project task child form located on the Tasks tab in the child form area of the profile.

    This will display a list of all Project Tasks currently added to the Project.

  6. Click the Add icon located in the upper-right corner of the project task child form.

    This will open the Add - Project Task pop-up window.

  7. Complete the following fields on the Add - Project Task pop-up window:
    Field Name Required? Description
    project Required The project field denotes which project the new task is associated to. This field auto-populates with the name of the project whose profile you accessed to add the new Project Task.
    code Required Enter the code for the new Project Task. The code is how the Project Task will be known, in effect, it functions as the Project Task's name.
    description Optional Enter a short description of the Project Task in the description field.
    task owner (staff) Optional Expand the task owner (staff) drop-down menu and select the individual that 'owns' this Project Task.
    task primary contact (staff) Optional Expand the task primary contact (staff) drop-down menu and select the individual who will serve as the point of contact for this Project Task.
    start date Optional Click the calendar icon to open the date-picker and click the date this Project Task is set to begin. You can also manually enter the date in this field.
    end date Optional Click the calendar icon to open the date-picker and click the date this Project Task is set to end. You can also manually enter the date in this field.
    comments Optional Enter any comments or notes regarding this Project Task in the comments field.
    task budgeted time Optional Enter the amount of time that has been allotted for this Project Task to be completed.
    budgeted amount Optional Enter the amount of money that has been budgeted for this Project Task.
    task due date Optional Click the calendar icon to open the date-picker and click the date this Project Task is due. You can also manually enter the date in this field.
    completion date Optional Click the calendar icon to open the date-picker and click the date this Project Task is completed. You can also manually enter the date in this field.
    billable? Optional Click the billable? checkbox if the time for this Project Task is billable.

    Note: The task budgeted time, budgeted amount, task due date, completion date fields, and the billable? check box are for administrative tracking purposes only.

  8. Click the Save button.

    The project task child form will update and display the newly created Project Task.

Finding a Project Task

Project Tasks are located on project task child form on the Project Profile page. To find a Project Task you must first locate the Project that the Project Task is associated to.

Use the standard Find and List options available under the Project group item in the Time module, to find the Project you are searching for.

Open the Project by clicking the Goto icon next to the name of the Project from your list of results. This will open the Project Profile page.

Expand the project task child form to see the list of Project Tasks associated to that Project.

Managing a Project Task

Once a Project Task is created it can be edited and/or deleted.

Editing a Project Task

To edit a Project Task, click the Edit icon next to its code in the project task child form.

Clicking the Edit icon will open the Edit - Project Task page where you can make any necessary changes.

Deleting a Project Task

To delete a Project Task, click the Delete icon next to its code in the project task child form.

Once you click the Delete icon you will be presented with a pop-up window asking you to confirm that you actually want to delete the selected Project Task. Clicking the OK button will delete the selected Project Task from the Project.

Viewing Project Resources

To view the Project Resources assigned to a project, click the Folder icon next to the Project Task whose Project Resources you wish to view.

This will expand the Project Resource grandchild form for that specific Project Task. The Project Resource grandchild form lists all of the Project Resources that have been assigned to that particular Project Task.

Note: If the Folder icon next to a Project Task is grayed out it means there are no Project Resources currently assigned to that specific Project Task.
