Requirements Tool

The Requirements Tool checks to see if the certificant candidates have completed all of the program requirements and then updates the certificants' records accordingly. You can use the Requirements Tool to mark a list of certificants as having completed all requirements before you use the Certification Tool to certify candidates who have completed all requirements, but have not yet been certified.

Using the Requirements Tool

  1. Go to Modules>Certification > Certificant > Find or Query Certificant.
  2. Craft a list of Certificants you would like to mark as requirements completed. The List - Certificant page appears.
  3. In the left navigation panel, click Requirements Tool.
  4. Choose which fields to fill in based on the description in the table below:
    Field Name Description
Completion StatusChoose the status the records will change to
Update participant records already marked as having met all requirementsTBD
  5. Click the Update Participant Records button.

  6. The Requirements Tool updates fields in the Certificant records according to the table below.

Fields that might be updated by the Requirements Tool

Completion Due Date
  • If the completion due date field is empty, the Requirements Tool will set this date.
  • The completion due date is the due date for completing all program requirements. It is calculated by adding the application term to the enroll date.
Certificant Status
  • If all requirements are completed and a completion status has been selected in the Requirements Tool, the certificant status will be updated to the selected value.
All Requirements Met
  • If all program requirements have been completed successfully, the All Requirements Met flag will be set equal to 1.
  • If all program requirements have not been completed successfully, the All Requirements Met flag will be set equal to 0.
Prerequisite Requirements Met?
  • If the program has prerequisite requirements and the requirements have been satisfied, then the Prerequisite Requirements Met? flag will be set equal to 1.
  • If the program has prerequisite requirements and they have not been satisfied, then the Prerequisite Requirements Met? flag will be set equal to 0.
  • If the program does not have prerequisite requirements, then the Prerequisite Requirements Met? flag will be set equal to 0 and prerequisite requirements will not be considered when evaluating overall completion status.
Application Requirements Met?
  • If the program has application requirements and they have been satisfied, then the Application Requirements Met? flag will be set equal to 1.
  • If the program has application requirements and they have not been satisfied, then the Application Requirements Met? flag will be set equal to 0.
  • If the program does not have application requirements, then the Application Requirements Met? flag will be set equal to 0 and prerequisite requirements will not be considered when evaluating overall completion status.

Note: The logic is the same for the other requirement types (Fees, Work Experience, Course, CEUs, Exam, Education, Reference, Other)

Note that if you are trying to process more people than are in your ListDataGridMaxRows user option, then you need to run the tool in batches. We do not recommend raising this number beyond the recommended limit, or you risk processing timeouts.
