Creating and Syncing Publication Product in Freestone

Publication product created in iWeb can be sync in Freestone site by following the below steps. The catalog sync will send publication product information to Freestone in real time.

To sync a publication product in Freestone, complete the following steps:

  1. Go to Inventory module, and expand Publication group item then click Add Publication. This will display Publication page.
  2. Enter the appropriate details to create a publication product. Follow the below steps to sync this publication product to Freestone.
  3. Enter the desired information in the fields: Product Code/Name and Description.
  4. In the Format field, select an appropriate option from the drop-down list. This is a required field to sync this publication product to Freestone. To set a new Product Format, refer Product Setup topic.
  5. Enter the price for the publication and start date and end date in their relevant field.
  6. Select the Sell Online check box to post it on Freestone.
  7. Enter other details you wish to include in this product.
  8. Set the GL Accounts details from their relevant fields.

  9. Click Save. This will create a publication product and you will be directed to the product profile page.

    10. Note the GUID key of this new publication in the URL.

In order to sync this product with Freestone it should have a keyword to tag which matches the keyword set in the Freestone integration. Refer below steps on how to add keyword or tag to a publication product.

To add a keyword to this publication product, complete the following steps:

  1. Add Freestone Course keyword to the new publication to enable syncing with Freestone.
  2. On the Publication Profile of the publication you just added, click the Tags/Keywords button. This will display Edit - Keywords or Tags window.
  3. In the Keywords/Tags field, enter Freestone Course in this field and click Save.

For adding an Online description to the product, complete the following steps:

  1. From the Publication Profile page, on the top navigation bar, click Edit menu.
  2. From the displayed list, click web information. This opens Online Information window.
  3. Click Save.

Verifying the Added Publication Product in Freestone

To Verify the Publication Product Added in the Freestone, complete the following steps:

  1. Login to Freestone site.
  2. Expand the Courses menu list on the left navigation menu.
  3. Click View Courses, this will display the list of courses available.
  4. Verify the publication product that you created is synced with the Freestone.

  5. Click Edit button in the Actions column for the publication product you added. This opens Course Editor window. Verify the details in the Information tab that you added in the iWeb. External ID is the GUID key of this product in the iWeb.

    6. The Ordering tab will give the products details like: Data Available (Start date), Name/Type, and Pricing that you added in iWeb. Note that the Product Code column displays the External ID of the publication product in NetForum.

Adding Multiple Price to a Freestone Synced Publication Product

User can add multiple price to a publication product that is synced with Freestone. Integration settings are required for multiple pricing levels, refer section Multiple price settings under topic Freestone Integration setup for more information.

To add multiple price to a Publication, complete the following steps:

  1. Open the Freestone synced publication product profile in NetForum and then click Prices tab.
  2. From the displayed Publication price section, click Add New Record icon. This will display Add - Publication window. Note that the many fields are auto-filled, these data are fetched from the publication product.
  3. Enter the price in the price field and make sure to select the sell online check box in order to reflect this price on Freestone site.
  4. In the Product Price Attribute section, select member option from the member? drop-down field. Once the member is selected it populates member type and member status fields.
  5. Select the member type from member type drop-down field.
  6. Click Save.

    7. Repeat the steps 1 to 6 to add another price to a publication product.

    These details will be synced to the Freestone site, below section will guide on verifying the multiple prices in Freestone.

To verify multiple prices in Freestone, complete the following steps:

  1. Login to Freestone.
  2. Expand the Courses module on the left navigation pane.
  3. Click View Courses. This will display the My Courses list. Search for the Publication product for which you added multiple prices; you can also sort the course list to Last Updated for getting the latest changes on top.
  4. Open Publication product and you will find the multiple price information under the Ordering tab.
  5. Under the Products sections, you will find the multiple pricing for the product. Click Edit icon to check the details of product pricing.

    6. Note: The highest price is the full price and the other prices will be as set in NetForum

Adding Presenter to a Publication in Freestone through NetForum

To add a presenter to a publication, course in Freestone through NetForum will require to add an individual in the People/companies list. This is mapped to set the same individual as a presenter in the Freestone.

To add a presenter to a publication in Freestone through NetForum, complete the following steps:

  1. Open a publication product for which you want to add a presenter, make sure this publication product is synced with Freestone.
  2. On the publication profile, click Miscellaneous tab.
  3. Click Add New Record button on the People/companies child form. This will display Add - Product People/Companies window.

  4. Enter the individual sort name in sort name field that you want to use as presenter and then click search button. This will display a list, select an individual.

    5. Important! An individual should be associated to an organization, it is required to sync the individual as a presenter in Freestone.

  5. Select a role from the role drop-down field.

    6. Note: Selection of a role here is for NetForum reference only it has no role in Freestone, because role field is a mandatory field here it should have a value selected.

  6. Click Save. The individual will be listed under the People/companies section.

    7. An individual will be listed as a presenter for the publication product and the same will be sync with Freestone. Now verify that the presenter is listed in the Freestone.

Verifying the added presenter in Freestone

  1. Login to Freestone.
  2. Expand the Courses module on the left navigation pane.
  3. Click View Courses. This will display the My Courses list. Search for the publication product for which you added presenter; you can also sort the course list to Last Updated for getting the latest changes on top.
  4. Open publication product and you will find the presenter information under the Information tab.
