A-Score - Aggregate Scoring Weight

Previously, the ability to score the actions that organization employees or chapter /members participated in and have those scores roll up to the organization or chapter was somewhat limited. Aggregate Scoring Weights in netFORUM improves the functionality of this feature. Aggregate Scoring Weights allow you to set your A-Score scoring up so that organizations with high participation from its employees/members will see an improvement in their A-Score. In addition, individuals can also be rewarded for their level of participation over time by using Aggregate Scoring Weights.

Adding an Aggregate Scoring Weight

To add an aggregate scoring weight, complete the following steps:

  1. Locate the Scoring Scale profile where you will be adding the Scoring Weight.
  2. Click the GoTo go to icon to launch the Scoring Scale Profile page.
  3. Expand the aggregate scoring weight child form. This form displays all of the aggregate scoring weights that will provide aggregated points to a member, organization, and/or chapter/affiliate.
  4. Click the Add icon located on the right side of the aggregate scoring weight child form.

    This will open the Add - Scoring Weight pop-up window.

  5. The scoring scale field will default to the scoring scale on the profile where you accessed the aggregate scoring weight child form. This field is not editable.
  6. Expand the apply weight to type drop-down menu and select the type of object to which to apply this aggregate scoring weight.
    • Self - applies this aggregate scoring weight to individuals only.
    • Organization - applies the aggregate scoring weight to actions taken by both the organization and the members of that organization.
    • Chapter - applies to only chapter relationships.
  7. Expand the aggregate type drop-down menu and select the type of aggregation that will be used to calculate the scores. There are four aggregate types to choose from:
    • Action CountThe Action Count aggregate type counts the number of actions that are participated in by individuals, organizations, or chapters. When using the Action Count aggregate type, you will also need to choose the action type you wish to measure (such as event registration.)
    • Action DiversityThe Action Diversity' aggregate type provides points for individuals, organizations, and/or chapters who participate in a variety of action types. When using the Action Diversity aggregate type, no action type is chosen as you are simply awarding points for participation in a set number of any action types (events, community, fundraising, etc.)
    • Customer CountThe Customer Count aggregate type awards points for the number of members of an organization or chapter that participate in the various action types. This aggregate type is not used for individuals. You can specify which action type you wish to measure by making a selection from the action type drop-down menu.
    • Time SpanThe Time Span aggregate type awards points to individuals, organizations, and/or chapters for participating in certain action types within a given time frame. For instance, you may wish to offer extra points to members who attend your national conference multiple times within a three year period.
  8. If applicable (based on the aggregate type you chose,) expand the action type and choose the type of action to which you wish to award aggregated points.
  9. Enter the minimum number of actions/counts that must occur in the aggregate range low field.
  10. Enter the maximum number of actions/counts that must occur in the aggregate range high field.

    For example, if you wish to award an individual points for attending between five and ten events, you would enter the number 5 in the aggregate range low field and the number 10 in the aggregate range high field.

  11. Enter the number of points to be awarded if the individual, organization, or chapter meets the criteria outlined above in the points field.
  12. If applicable, use the calendar controls to enter the start date and end date for the criteria listed above to be met.
  13. You may also add a qualification query if needed.
  14. Click the Save button.

    The aggregate scoring weight child form will update to display the newly created aggregate scoring weight.

Using the Action Type Aggregate Type

As mentioned earlier, there are four aggregate types that can be used when setting up aggregate scoring weights. The first of these is the Action Count. Just as the name implies, this aggregate type simply counts the number of actions taken by an individual, organization, employees of an organization, or chapter (relationships.)

To set up the Action Count aggregate type of aggregate scoring weight, complete the following steps:

  1. Use the steps outlined above to begin creating your aggregate scoring weight.

    Note: Applying this aggregate scoring weight to Self counts actions taken by the individual only, applying it to the Organization counts actions taken by the organization and its employees, and applying it to the Chapter counts the actions taken by the relationships and/or members the chapter has.

  2. Expand the aggregate type drop-down menu and select the Action Count option.
  3. Expand the action type drop-down menu and select the type of action you wish to count. Take care to note who this aggregate scoring weight will apply to (individual, organization, chapter) as it may influence the action type you select.
  4. Enter the minimum number of actions required to trigger the award of points in the aggregate range low field. Those who have actions below this number will not qualify for these points.
  5. Enter the maximum number of actions allowed to trigger the award of points in the aggregate range high field. Those who have actions greater than this number will only receive the points listed for this aggregate scoring weight.

    Note: You may wish to set up a tiered set of aggregate scoring weights. For example, giving 5 points to those who make up to five gifts in a year and then set up another aggregate scoring weight that awards even more points for those give more than five gifts in a year.

  6. Enter the number of points that will be awarded for meeting these criteria in the points field.

Using the Action Diversity Aggregate Type

The Action Diversity aggregate scoring weight awards points for individuals, organizations, or chapters engaging in several different types of activities. This awards those who display an interest in participating in multiple facets of your organization.

To set up the Action Diversity aggregate type of aggregate scoring weight, complete the following steps:

  1. Use the steps outlined above to begin creating your aggregate scoring weight.

    Note: Applying this aggregate scoring weight to Self counts the various action types participated in by the individual only, applying it to the Organization counts the various action types participated in by the organization and its employees, and applying it to the Chapter counts the various action types participated in by the relationships and/or members the chapter has.

  2. Expand the aggregate type drop-down menu and select the Action Diversity option.

    When using the Action Diversity type of aggregate scoring weight, you will not specify an action type as you will want to count all of the different activity types your members engage in.

  3. Enter the minimum number of action types participated in required to trigger the award of points in the aggregate range low field. Those who participated in fewer action types than this number will not qualify for these points.
  4. Enter the maximum number of action types participated in to trigger the award of points in the aggregate range high field. Those who participated in more action types than this number will only receive the points listed for this aggregate scoring weight.

    Note: You may wish to set up a tiered set of aggregate scoring weights. For example, giving 3 points to those who participate in three to five different action types per year and then set up another aggregate scoring weight that awards even more points for those who participate in greater than five action types in a year.

  5. Enter the number of points that will be awarded for meeting these criteria in the points field.

Using the Customer Count Aggregate Type

The Customer Count aggregate scoring weight awards points for organizations or chapters who have a certain number of members engaging in the activities of an organization. This rewards those organizations or chapters for having an engaged membership.

To set up the Customer Count aggregate type of aggregate scoring weight, complete the following steps:

  1. Use the steps outlined above to begin creating your aggregate scoring weight.

    Note: This aggregate scoring weight is not designed to be used for individuals (Self.) Applying it to the Organization counts the number of members within the organization that participated in the activities of the association. Applying it to the Chapter counts the number of members within the relationships of the chapter that participated in association activities.

  2. Expand the aggregate type drop-down menu and select the Customer Count option.
  3. Expand the action type drop-down menu to select the type of action for which you wish to count participants from the organization or chapter.

    Leaving the action type menu blank, will count the customers regardless of the action they participated in.

    Example: If you wish to reward an organization for having five members register for an event, select the event registration option from the action type drop-down menu.

  4. Enter the minimum number of customers who participated in association actions required to trigger the award of points in the aggregate range low field. Those organizations or chapters who had fewer members than this number participate in actions will not qualify for these points.
  5. Enter the maximum number of customers who participated in association actions required to trigger the award of points in the aggregate range high field. Those organizations or chapters who had more members than this number participate in actions will only receive the points listed for this aggregate scoring weight.

    Note: You may wish to set up a tiered set of aggregate scoring weights. For example, giving 5 points to those organizations or chapters who had five to ten members participate in association activities per year, and then set up another aggregate scoring weight that awards even more points for those organizations or chapters that had over ten members participate in a year.

  6. Enter the number of points that will be awarded for meeting these criteria in the points field.

Using the Time Span Aggregate Type

The Time Span aggregate scoring weight awards points for individuals, organizations, or chapters who have engaged in two or more activities within a set amount of time. This rewards those individuals, organizations, or chapters for being consistent participants in the association.

To set up the Time Span aggregate type of aggregate scoring weight, complete the following steps:

  1. Use the steps outlined above to begin creating your aggregate scoring weight.

    Note: This aggregate scoring weight is most commonly applied to individuals (Self).

  2. Expand the aggregate type drop-down menu and select the Time Span option.
  3. Expand the action type drop-down menu to select the type of action for which you wish to measure participation.

    Leaving the action type menu blank, include any action type engaged in by the individual, organization, or chapter in this aggregate scoring weight.

  4. Enter the minimum number of days for the time period to be measured in the aggregate range low field. For instance, one year will equal 365.
  5. Enter the maximum number of days for the time period to be measured in the aggregate range high field. For instance, two years will equal 730.

    Since you are specifying a time frame in the aggregate range low and aggregate range high fields, you do not need to specify a start date and end date.

    Note: You may wish to set up a tiered set of aggregate scoring weights. For example, giving 5 points to those individuals, organizations, or chapters that participated in two or more events within two years, and then set up another aggregate scoring weight that awards even more points for those individuals, organizations, or chapters that participated in two or more events in years three to four and so on.

  6. Enter the number of points that will be awarded for meeting these criteria in the points field.

Finding Aggregate Scoring Weights

To find an aggregate scoring weight that has been created, complete the following steps:

  1. Locate the Scoring Scale profile where the aggregate scoring weight has been set up.
  2. Expand the aggregate scoring scale child form located on the Primary tab of the Scoring Scale profile.

    A list of all previously created aggregate scoring weights will be displayed.

Managing Aggregate Scoring Weights

Aggregate scoring weights can be edited or deleted from the aggregate scoring weight child form found on the Scoring Scale profile page.

Editing an Aggregate Scoring Weight

To edit an aggregate scoring weight, complete the following steps:

  1. Find the aggregate scoring weight you wish to edit.
  2. Click the edit next to the aggregate scoring weight you wish to edit.

    The Edit - Scoring Weight pop-up window opens.

  3. Make the desired changes.
  4. Click the Save button.

Deleting an Aggregate Scoring Weight

To delete an aggregate scoring weight, complete the following steps:

  1. Find the aggregate scoring weight you wish to delete.
  2. Click the delete icon next to the aggregate scoring weight you wish to delete.

    A pop-up message prompts you to confirm the deletion.

  3. Click OK.

    The aggregate scoring weight child form will update and the deleted aggregate scoring weight is no longer available.
