Moves Series
Moves Series are designed to provide structure for your various initiatives. These initiatives can range from increasing the number of repeat donors to your organization, to retaining members, and so forth. It is important to note that when you are creating a Moves Series it should be very targeted. Having a Moves Series for just "fundraising" would be too broad and not provide the desired structure.
A Moves Series will also contain a series of Stages. Stages, just as the name implies, are steps that individuals will move through as you guide them towards your goal (be it a repeat donation, a membership renewal, etc.) Some Stages will be Insertion Stages that will "insert" individuals into the series, while others will be Transfer Stages that are designed to "transfer" individuals from stage to stage.
Finally, each Stage will have a series of assignments that must be completed during that stage. For example, if a Stage was created for the initial contact of a former donor, the tasks might be making a phone call to that donor and/or sending an email to that former donor. If the former donor responds, that might be the trigger that moves them into the next Stage. If the former donor does not respond, that might move them into another stage, or out of the Series altogether.
Adding a New Moves Series
To add a Moves Series, complete the following steps:
- Expand the Module Menu and click the Moves Management option.
This will launch the Moves Management module.
- Mouse over the Overview tab. This will expand the Overview fly-out menu.
- Click the Moves Setup option.
This will open the Moves Management Setup Profile page. This page lists all of the previously created Moves Series and provides an option to create a new Moves Series.
- Click the Add located on the moves series child form.
This will open the Add - Moves Series pop-up window.
- Enter the name for this Moves Series in the code field. This is the name that will be displayed for this Moves Series in NetForum.
- Enter a short description of this Moves Series. An example of a good description might be this Moves Series' purpose, or goal.
- Make sure the enable moves management? checkbox is checked.
- Expand the product type drop-down menu and select the product type that corresponds to this Moves Series.
Currently there is no functionality behind this field other than tracking the general purpose of a Moves Series, in future releases there will be features that will allow for future projections based on this data.
- Expand the user list and select the owner of this Moves Series from the list of individuals.
Note: The user field should be set to the user most closely associated with the Moves in the series and is considered to "own" the Moves in the Series. However, this user may not necessarily be the same User who may get Assignments related to this Moves Series.
Note: The stage for closed opportunities drop-down menu will be blank when initially creating a Moves Series and you will not be able to select this value at this time. After saving the Moves Series, you must create a stage to house closed opportunities. Once this stage is completed, you must edit the Moves Series and specify that stage in the stage for closed opportunities drop-down menu.
- Click the Save button.
The Moves Management Setup Profile page will update and list the newly created Moves Series. Clicking on the Code of the newly created Moves Series will take you to the Moves Series Profile page.
Once your Moves Series is set up, you will add Moves Stages. These will be the stages individuals pass through as you work towards achieving the purpose of the Moves Series.
Moves Series Profile
The Moves Series Profile is created after the Moves Series is saved and contains the basic information about the Moves Series.
Clicking the Edit button will open the Edit - Moves Series pop-up window where you can make changes to the Moves Series (including adding the stage for closed opportunities as discussed above.)
The Moves Series Profile contains the moves stages child form. This child form will list all of the Moves Stages currently associated to this Moves Series.
In addition, you will create your Moves Stages from this child form by clicking the Add icon. Clicking the Edit will open the desired Moves Stage for editing, while clicking the GoTo will take you to the desired Moves Stage Profile page.
Finding Moves Series
To find previously created Moves Series, use the List or Find features.
Using the List Feature
To use the List feature to locate a previously created Moves Series complete the following steps:
- Expand the Module Menu and click the Moves Management option. This will open the Moves Management module.
There are three ways to see the list of previously created Moves Series.
- The first way to see the list of previously created Moves Series is to view the Moves Series widget located on the Overview page.
The Moves Series Widget displays a list of previously created Moves Series.
- You can also mouse over the Overview tab located on the Moves Management Overview page.
Mousing over this tab will expand the Overview fly-out menu.
Click the Moves Setup option to see the list of previously created Moves Series.
- You can also mouse over the Moves Series tab located on the Moves Management Overview page and click the List Moves Series option.
- Regardless of the method chosen to view the list, click the hyperlinked Code (name) of the Moves Series you wish to view.
Note: The Moves Series widget on the Moves Management Overview page also provides a listing of previously created Moves Series. Clicking on the name of a Moves Series from this box will also take you to the Moves Series Profile page.
You will notice on both the List - Moves Series page and in the Moves Series widget on the overview page, that certain Moves Series have double asterisks (" ** ") by their name. These are baseline Moves Series that are shipped with NetForum for your convenience.
Using the Find Feature
To use the Find feature to locate previously created Moves Series, complete the following steps:
- Expand the Module Menu and click on the Moves Management option. This will launch the Moves Managementmodule.
There are two ways to launch the Find page.
- The first is to click the Find Moves icon, located on the Moves Management Overview page.
- The second is to mouse over the Moves tab located on the Moves Management Overview page and click the Find option.
Both methods will open the Find - Moves Opportunity page.
- Enter your search criteria in the available fields.
If the Advanced View checkbox is checked, you will have the And/Or operators available to you. If the Advanced View checkbox is not checked, this option will not be available and the search will default to the And operator.
- After you have entered your criteria, click the Go button.
A list of previously created Moves Series that meet your criteria will be returned.
- Click the hyperlinked Code of the Moves Series you wish to view.
Managing Moves Series
Once a Moves Series has been created, you may need to make changes.
To edit a Moves Series, complete the following steps:
- Expand the Module Menu and click the Moves Management option. This will open the Moves Management module.
- Mouse over the Overview tab and click the Moves Setup option on the fly-out menu that displays.
This will display the list of previously created Moves Series.
- Click the Edit icon next to the Moves Series you wish to modify.
This will open the Edit - Moves Series pop-up window.
Note: You may also click the the Edit button located on a Moves Series Profile to open the Edit - Moves Series pop-up window.
- Make the changes needed to the selected Moves Series.
- Click the Save button when done.
The Moves Series you modified has been updated with your changes.
Ending a Moves Series
If you have a series that you no longer want to run, then you can go the the tasks for that Series and configure each task to stop running. Once you do that, people will no longer get added to the stages of the series.
If you have Moves Stage Transfer Rules that transfer people into the series, then you will also need to invalidate those rules by deleting them.
