Chargeback
As an online merchant, you may occasionally receive a notice from your credit card merchant that a chargeback has been made to your account due to a customer dispute. You can remove the payment from the invoice, to prevent a duplicate refund on the account, without automatically refunding the credit card. This is called a chargeback in netFORUM.
The following has to happen before you can mark a payment as a chargeback:
the payment is made with a credit card or PayPal
the customer has a dispute and the credit card company grants them a refund
the credit card company withdraws money from your Merchant Account to cover the customer's refund
you close the batch containing the disputed transaction
If each of these prerequisites is fulfilled, the Chargeback button will appear on the Payment Profile page for the transaction in question.
Note: Clicking the Chargeback button does not cause netFORUM to contact the electronic payment gateway or refund the credit card. netFORUM does contact the electronic payment gateway if you choose Void or Void with Adjustment.
To remove a payment from the invoice after the credit card has been refunded, use a Chargeback. Use the following steps to create a chargeback on a payment:
- Go to Modules > Accounting > Find, List, Query Payment > Payment Profile.
- Click the Chargeback button. The Chargeback wizard opens on the Chargeback | Payment Change Information page.
- Verify the information in the Payment Information section .
- Fill in the following fields in the Void Payment Information Section:
Field Required Description Transaction batch Required Select a batch from the drop-down list or click the add button to add a new batch. Payment void date Required Enter or select a date on which you'd like the payment to be voided. - Click the Continue > button. The Chargeback | Review page opens.
- Confirm the information in the Chargeback Confirmation Section.
- Click OK to mark the invoice UNPAID, and to void the payment.
Click Go Back to return to the Chargeback | Payment Change Information page. - You return to the Payment Profile and the payment is marked with a chargeback icon.
Note: Going through the Chargeback wizard does not cause netFORUM to contact the electronic payment gateway or refund the credit card.
