Time - Invoicing the Project
Invoices can only be generated from the My Time Entry Profile page.
Note: Approving or declining an invoice requires users have the executive permission enabled.
Generating an Invoice
To generate an invoice from the Time Entry Profile, complete the following steps:
- Expand the Module Menu in netFORUM.
- Click the Time hyperlink to launch the Time module.
- Hover over the Time Entry group item to expand the Time Entry fly-out menu.
- Click the Time Entry Profile link to open your Time Entry Profile.
- Click the Generate Invoice icon located in the Action Bar of the Time Entry Profile.
Only individuals with the executive permission will see this icon.
This will open the Generate Invoice pop-up window.
This form allows you to specify certain search criteria to locate items you wish to invoice.
- Use the fields available in the Filter Criteria to generate a list of expenses that match the criteria you set.
The data you select from the drop-down lists on the Filter Criteria panel determines what records are displayed on the invoice. These are all optional with the exception of the Billing Periods drop-down list, which will generate the current period automatically.
The information in the Filter Criteria drop-down lists are functionally independent of each other with the exception of project task, which is dependent upon the project selected. Unfiltered criteria will display billable time and expenses for all open projects within the Billing Period selected.
- Expand the batch drop-down menu to select the batch that will be used for this invoice.
- Click the calendar icon to open the date-picker and click the date the transaction occurred. You can also manually enter the date in this field.
- Click the generate button to generate the invoice for the expenses listed.
- You will be prompted with a pop-up window asking you to confirm the generation of this invoice. Click the OK button to confirm this action.
Your invoice has been generated.
The invoice generated can be viewed on the invoices child form located on the Project Profile page.
Declining an Invoice
To decline an invoice from the Time Entry Profile, complete the following steps:
- Expand the Module Menu in netFORUM.
- Click the Time hyperlink to launch the Time module.
- Hover over the Time Entry group item to expand the Time Entry fly-out menu.
- Click the Time Entry Profile link to open your Time Entry Profile.
- Click the Generate Invoice icon located in the Action Bar of the Time Entry Profile.

This will open the Generate Invoice pop-up window.

- Click the decline button.
- You will be prompted to confirm the declining of this invoice with a pop-up window. Click the OK button to decline this invoice.
Declining an invoice returns all time and expenses data to an unapproved status.
