Call to Action Wizard

In addition to adding a Call to Action manually, you may also use the Call to Action Wizard to facilitate adding a call to action. The steps to using the wizard are described below.

To access the wizard, complete the following steps:

  1. Go to the Marketing module and click the Call to Action group item.
  2. Click the Call to Action Wizard link, seen below. The Call to Action Wizard will launch.

Define Recipients and Templates

Begin by deciding who will receive your Call to Action and what Template you will use. Complete the following fields as needed or required:

  1. Messaging Campaign: If you want to include this CTA as part of a messaging campaign, select the campaign in the drop-down.
  2. Promotional Code: While this field is not required, it is a good idea to create business rules for CTA codes to keep track of them for your organization.
  3. External List: Checking this checkbox allows you to track marketing sent through external vendors. External lists can be associated to source codes to help track the costs of the Call to Action. V
  4. Description: Provide a detailed description for your CTA. This is REQUIRED.
  5. List Type: The correct list type must be selected that matches the Correspondence Template you will be using. For example, if you choose a template based on Individuals, you must choose an Individual List Type. You must choose a list type which will determine the Data Sources and the Correspondence Templates you can use. (If you want to choose the data source with a mailing list, choose the list type of "Mailing List detail).   6. Data Source: You may choose what data source you want to generate your data from. You may use a previously generated query or create a new one. The Data Source is a query that returns all the people you want to send this call to action email to. For example, if you choose to send to individuals, you must have a query in individual in CRM or click on the "add" button to add in a query. (NOTICE you must enter the name of the query and save it) If you want to send this call to action to a list of members, you must choose the List Type of Membership and a query in member. Note that Query Security is observed.

    You may click the Edit icon next to your chosen data source and modify your query directly within the CTA. This includes the ability to specify that parameters be Ask At Run-time. Also notice that a Set Parameters hyperlink next to the data source drop-down has been added. The Set Parameters hyperlink will allow you to use queries with Ask at Runtime parameters in Calls to Action which was not previously available. You may create a standard query that has several parameters, for example, and then reuse this query within several Calls to Action without making any modifications other than setting the Runtime parameters when the Call to Action is created.

  7. You can use an Audience with your CTA rather than a Data Source as seen in the example above. Note that if you choose to use an audience, you must modify your query through the audience itself rather than through the data source as described above. The data source drop-down will not be visible. You may not use an audience and a data source at the same time for a CTA.

  8. Correspondence Template: Choose or add the template you want to use for your CTA in this drop-down field. Add a new template by clicking the Add button.

  9. Mailing Type: Select the mailing type that this CTA should be distributed to. Note that if the member has opted-out of this mailing type, they will not receive the e-mail unless that member is part of a seed list which will override that setting.

  10. Seed List: This will enable you to select a seed list in the drop-down to distribute the e-mail to. Note that members on the seed list override mailing type opt-outs.

  11. Split Recipients into multiple segments: Click this checkbox if you plan to segment your call to action recipients.

  12. Add source codes to template links: Click this checkbox if you want to be able to add source codes to links you add in your template. This will enable you to discern where people are accessing your links from.

Add Template

If you do not specify an existing Template, you will next add a new template. Note that you will be able to add source codes to your template hyperlinks in this step.

Add Segments

If you specified to split recipients into multiple segments, you will be prompted to do so on the Segments page, seen below. Use the segment type drop-down to specify the type of segment you will use: column, custom, or number of records. Based upon the segment type you use, you will then further segment your records to send the CTA to. You may also apply a source code to each segment.

Notice that in the image above, the segments have not been updated with an assigned cost to distribute. Further, you may also update them with a different source code per segment/link should you choose.

To update an individual segment, click the edit button next to the segment you want to edit.

Notice in the Add Call to Action Segment window that appears you may:

  • Add a cost package to the segment.
  • Delete a previously added source code to the segment
  • Click the add source code to links checkbox to add one source code to all links
  • Click the different source per link check box to add a specific source code to the link currently being edited

Finally, notice that the segments that you modify/update are noted on the main segment page. You will need to configure and update all of your segments before you will be able to proceed.

Scheduling

The last step is to schedule your CTA. You may make some final changes before completion such as modifying your parameters to your data source (if applicable), your cost package, and adding a file attachment.

Delivery Method: User Preference - based on what the user has set. Schedule Type: Choose Recurring if this CTA should be sent on a daily, weekly, or monthly basis at a certain day/time.

You may also send a test email before sending out your CTA to multiple recipients. If you are satisfied with your CTA, click the Finish button to save and schedule it.
