Importing Event and Session Scores

If an event is set up to track scores and grades, you can import the scores or grades from a Microsoft Excel file into the Event Registrant Profiles. For this functionality to work, you must select the Track Scores/Grades check box when you set up the event.

In CRM, the Customer number displays on the Individual (or Organization) Profile, in the Address Information section. The Customer number in the Excel file that you import must match up to the Customer number in CRM.

However, by default, Microsoft Excel may delete the leading 0 in the Customer number column in the Excel file. You can change the formatting to text to retain this 0 before import.

To retain the leading 0s in the Customer # column in Excel:

  1. Right-click on the Customer # column header and select Format Cells from the menu.

  1. In the Format Cells window, under Category, select Text.
  2. Click OK.

 

  1. You are now able to add the 0s to the Customer number when required and Excel will retain them. Your final spreadsheet should look similar to the image below. You can choose to add more fields such as first name, grade, session, etc. if you choose.

When the Track Scores/Grades check box is selected, you will see the Event Scores Import icon on the Event Profile.

To import scores from an Excel file:

  1. Click the Import Scores button.

In the Event Scores Import Wizard, the event name will automatically populate the Event field.

  1. Select the Session, if appropriate.
  2. Click Browse to find the Excel Scores Import file.
  3. Click Save and Continue.

  1. The field names created in the Excel file will populate the second column.

  1. In the first column, select the field names in netFORUM that match the data columns of the Excel file.

  1. Click Finish. Scores will be imported to the appropriate registrant’s profile.

Keep in mind the following when importing Event and Session Scores:

  • The Excel file that you import needs to be an excel file version 2003 or less. Office 2007 should not be used at this point.
  • Make sure all blank columns are removed.
  • Make sure that the following fields are within the file: Customer ID, Individual Name, Score, and Grade.
  • Make sure that Track Scores check box is enabled on both the Event and the Session.
