Linking Individuals to a Department in iWeb

Once departments have been created for an organization, individuals can be linked to the departments. However, individuals can only be linked to one department at a time. They may also only be linked to departments within the organization that is listed as their primary organization.

Assigning individuals to departments has the benefit of assisting with address management, as individuals have the option of using their own addresses when being assigned to a department or of using the address assigned to the department.

Linking an Individual to a Department Using iWeb

  1. Navigate to the Individual Profile.
  2. Locate the Address Information section. Click the Edit button.

  1. The Personal Information form will appear. Locate the Affiliation Information–Search Database section.
  2. If no Primary Org has been entered, click the lookup icon to select an organization to set as primary. To narrow your results, enter part of the primary organization name in the field before clicking the lookup button to select the organization.
  3. If the selected primary organization has departments listed under its Department child form, a Department drop-down menu will appear under Affiliation Information–Search Database. Select the desired department from the drop-down menu.

Tip: If no departments have been added to the selected primary organization, the Department drop-down menu will not appear. Navigate to the organization profile and add the desired departments.

  1. Click Save. The individual is now linked to a specific department of the primary organization.

Linking a Department Address to an Individual's Profile

  1. Complete steps 1 through 5 of the section above on linking an individual to a department.
  2. In the Personal Information form, locate the Business Information section. To link the address of the department you selected in the Department field, click the Link Address check box.

    The Business Information address automatically updates to reflect the address of the department selected in the Department drop-down field. Note that, because the address is now linked directly to the primary organization department, the address fields are read-only. As long an the Link Address check box is selected, the address will automatically update to reflect changes to the selected Department.

Clicking the Link Address check box replaces any address information in the address fields with the address of the department being linked. Unclicking the Link Address check box does not cause the original address information to reappear.

  1. Click Save.
