Registering for a Wait-Listed Event

Some events may allow you to be added to a wait list after the event reaches capacity. To be added to the wait list, you must complete the steps for registering for the event and pay the full registration price. If an event is full, but an event session still has openings, after you pay for the event and the session, you will be added to a wait list for both the event and the session.

When you try to register for an event that is full, at the top of the registration form you will see the message This Item is sold out at this time… You will also receive a pop-up message that says This Event is full. By Purchasing it you will be added to the event wait list. Select OK.

Note: Guests can also be added to the wait list.

You will notice the words Wait List next to the name of the event in the Shopping Cart.

When you click Check Out, you will see the words Wait List again on the Order Details form.

If you go to the List Event Registrant form for the event, you will now see that the individual is registered and put on the Wait List as shown on the List Event Registrant form.

You can also see the Wait Listed flag equals Yes on the Registrant Profile.

To remove the registrant from the Wait List and add them as a regular event registrant, click the Edit button on the Registrant Profile. You will see the Wait Listed flag selected.

Clear the Wait Listed flag and click Save. The registrant will be removed from the Wait List.

Return to the Event Profile. As a previous screen shot illustrated, the capacity for this event was 4. The capacity for the event is now 5, because the registrant was ”r;forced” off the Wait List onto the Event Registrant list.

You can also remove an individual from a Wait List by going to the Event Profile, click Edit and increase the value in the Capacity field. You can then clear the Wait Listed flag on the registrant record.

Note: If an event has met registration capacity and allows Wait List registrations, but the sessions linked to the event have not met capacity, the registrant will be Wait Listed for the event and will also be Wait Listed for the sessions.

Guest registrants that are registered after the event or session capacity has been met can also be added to the Wait List.

TIP: If your event allows Wait List registration, you may want to explain the Wait List process in the Online Information form for the event, so that the registrants know what to expect.
