Fulfilling a Subscription

To fulfill a Subscription, access the Subscription Profile of the subscription you want to fulfill and click the Fulfill Subscription button on the action bar. (You may also use the Actions menu in the Accounting module)

When a Subscription fulfillment is first entered, you have the ability to select the Subscription Code to work with and a Customer Name.

Once you have selected the subscription in the Subscription Code drop-down field, the dialogue box that appears depends on whether Issues have been set up for the subscription.

For retroactive Subscriptions that likely do not have Issues set up, you will continue to see the fulfillment dialogue that you are used to and will include the fields that you fill out manually such as Subscription Issue, Volume, and Issue Date.

If Issues are set up, a new fulfillment dialogue box appears, which enables you to choose the Issue(s) that you created via the Subscription Issue drop-down field.

Clicking the Find button displays the number of copies of the Subscription Issue that will be fulfilled.

If you want to fulfill previous issues of the selected Issue for eligible Subscriber(s), do so by selecting the Include Previous Issues check box. This will fulfill all back issues of the selected Subscription Issue to eligible Subscribers, even if the Issue Date has passed.

Keep in mind that the fulfillment process will fulfill Issues with Issue Dates that are sold in the same month as the purchase date of the Subscription itself. For example, if a Subscription is sold on 1/31 and fulfillment takes place on that date, issues offered in the month of January will be sent. However, if the same Subscription is sold on 2/1, the Include Previous Issues check box will need to be selected before the Issue Date of 1/7 Issue will be fulfilled.

The Issue Date is set up when you Add the Subscription.

You can also decide to fulfill by a specific customer by entering a Customer Name and then clicking the Find button.

If the customer is eligible to receive that specific Subscription Issue, the Fulfill button will be available. In the example below, note that the last Issue in the term has been selected in the Subscription Issue drop-down and the Include Previous Issues check box has been selected. Since this is a quarterly subscription, four issues are then available to fulfill for this Subscriber.

You can use the check box beside each individual Issue to select and deselect which Issues you want to fulfill as well.

The Subscription Renewal process functions similar to the Membership Renewal process in that you can use the Report Menu to preview the renewal process and Subscribers—enter Renewal Dates and a range of Expiration Dates or choose an Individual to renew—and then choose the Renewal Rate from the Default Renewal Rate drop-down before clicking the Renew Subscription button to process the Renewal.
