Batch Organization Name Update for Employees
Linked individuals that have selected an organization as his/her primary organization (viewable under the Organization profile > Relations tab > Linked Individuals child form) automatically have their individual profiles updated when that organization name is edited and changed. This occurs even if the individual has not linked the address of the primary organization to his/her profile through the Link Address check box (View: Linking an Individual's Address to a Primary Organization).
For example, if the Editors Today organization changed their name to Editors Today Unlimited, seen below, the linked employee Sarah McGillicutty would observe this on her profile even though she has not linked her address to the organization through the Link Address check box on her profile.
However, when editing this same profile, it is observed that the Primary Org field still contains the old organization name of Editors Today.
All linked employees that do not also have their addresses linked to their primary organization will experience this. Note this will also be the case where the business address is used for mailing label formats such as billing labels. Only those linked individuals that also have their addresses linked to their primary organizations will have the new organization name updated in all formats.
To ensure that all linked individuals obtain the update to the new name, you must run the Org Name Employee Update process:
- After the organization name has been edited and changed, go to the Organization Profile.
- From the Actions drop-down menu, click the Org Name Employee Update hyperlink.
- A message will display informing you of how many total linked employees will have their organization name updated. Click Scheduled Process button to update the mailing labels of linked individuals.
The Primary Org field for individuals who do not have their addresses linked is also updated with the new organization name. This includes all other formats such as mailing labels.
