Merging Duplicate Records Using the Merge Purge Tool

The Merge and Purge tool gives you the ability to find and merge possible duplicate Individual or Organization customer records. Mark the record you want to keep and merge data from duplicate records. The record marked Keep is preserved and retains its name, organization, addresses, phone numbers, fax numbers, and e-mail addresses.

Information related to committee participation, purchases, event registrations, correspondence, uploaded documents, and memberships, from both the Kept and Deleted records, is saved in the kept record. If two organization records are being merged and one of the records has linked individuals, the linked individuals will be saved to the new record. After the records are merged, surplus records are purged from the database.

Some information is not transferred from deleted record(s) to the kept record. This includes custom demographic information, images, individual type, personal web site, do not contact info, linked organizations, nickname, and e-mail opt-out groups. To retain this information, you should choose to keep the record with the custom demographics rather than the one with the correct name and address information. Once the records have been merged, you can update the kept record with correct name and address information.

Addresses, phone numbers, fax numbers, and e-mail addresses from the deleted record(s) will appear on the Merged Info child form tab. Keep the information on the Merged Info tab for reference or delete it using the delete icon.

Images are not transferred to the new record. To use an image from a deleted record, the image file must be uploaded to the new record.

Note: If a membership is transferred from the deleted record to the new record, the membership will be activated by a nightly process that will flip the Member flag to Yes or the Receives Benefits flag to Yes; whichever one is appropriate.
